Import files and attachments into Zoho CRM

A signed contract for each deal, a logo for each account, a certificate on each training row: the files that belong to your records sit in a folder next to the spreadsheet. Sloose now imports them with it, from a folder, a zip or a handful of files, and attaches each one to the record it belongs to.

How to import files into Zoho CRM alongside a spreadsheet

On the Source step, choose Files and folders and pick the files, a folder or a zip, or drop them on the page. Before anything is sent, Sloose says what it will add: it opens a zip for you, leaves out hidden system files and programs, and counts repeats. The files become one more sheet of the same import, with a row for each file.

Then, on Map fields, point a file field at the column that names its files. Say your deals sheet has a Contract column holding northwind-fit-out.pdf, and your folder holds that file: map Contract to the deal's file upload field, and each deal is written with its contract.

Where the files can go

  • File and image upload fields. The fields you added to a module in Zoho CRM, such as a signed contract on Deals or a logo on Accounts. An image field takes images only, and Sloose tells you which kinds.
  • A record's attachments. Attachments appear on Map fields as a field of their own for the modules that take them, and each file is attached to the record after it is saved.
  • A subform's file column. A certificate on each row of a training subform, in the same subform rows you already import.

How a file finds its record

You say what the column holds, and Sloose finds the file in the folder you added: the file's name, its name without the extension, its whole path or the end of its path, or a pattern your formula builds, with * and ?. A cell can name several files if you say what separates them. And when each file is a record of its own, such as one document record for every file in the folder, a file field can take this row's own file.

Checked first, and you decide the awkward cases

Validate checks the files like the rest of the import. It tells you which rows name a file that is not in your folder, or a name that more than one file has, a file bigger than the field takes, a kind of file the field does not take, or more files than the field holds. A dry run shows what each row would do. Nothing reaches your CRM until you press Import.

For a name that finds no file, or several, you choose what happens: leave the file out and write the record anyway, skip, or Ask me, which pauses the run on that row and asks you, with the files to choose from when more than one has the name.

If a run is interrupted and you retry it, an attachment the record already holds, by name and size, is not attached a second time.

Compared with Zoho CRM's own import

Zoho's help points to its Data Migration tool for importing attachments or images into a module. In Sloose they are part of the same import as the records. The full comparison is on its own page.

Questions people ask

How do I import attachments into Zoho CRM from a spreadsheet?

Add the folder of files to your import as Files and folders, then map the Attachments field of the module to the column of your spreadsheet that names each record's files. Each file is attached to its record after the record is saved.

Can I import images into a Zoho CRM image field?

Yes. Map the image field to the column that names the image. The field takes images only, and Validate flags a file of another kind before anything is written.

Can I add a zip instead of a folder?

Yes. Sloose opens the zip in your browser and shows what it will add before it sends anything.

How long does Sloose keep the files?

For a limited time after you last use them, which depends on your plan. A run that uses a file starts the time again.
